YOUR TASKS AND RESPONSIBILITIES

 

The primary responsibilities of this role, Project Coordinator Medical Strategy, are to:

 

  • Handle medical affairs budgets, including preparation of forecasts in collaboration with medical directors and controlling coordination and administration of grants (CME and IIR), including coordination of grant committee for Bayer Consumer Health (BHC) US;
  • Process vendors information in SAP, obtain purchase orders and track and handle payment of invoices;
  • Request and track legal agreements in GPCM system;
  • Manage business travel arrangements and process expense reports (concur);
  • Assist in meeting planning and preparation work needed, i.e., drafting agendas and broader communications;
  • Coordinate details of departmental meetings and/or on and off site conferences and events;
  • Assemble and analyze information; prepare reports, manuals, agendas, correspondence and memoranda as guided by general company practice;
  • Support administration of grants (CME, IIR and advisory boards);
  • Establish and maintain departmental databases and develop spreadsheets of importance to department;
  • Prepare materials in final form from very rough and involved drafts which may utilize frequent use of technical terminology and which combines materials from several sources;
  • Coordinate activities across departments and follow up to ensure that requests are carried out;
  • Set up files and maintain documents in Sharepoint;
  • Screen redirect calls, take messages, handle mail;
  • Perform additional responsibilities as required.

Required Qualifications:

 

  • Bachelor’s degree with 2 years’ relevant experience OR Associate’s degree with 8 years’ relevant experience OR High School Diploma with a minimum of 10 years of relevant experience;
  • Experience in using business systems such as SAP and Excel;
  • Strong organizational, decision-making and process management skills;
  • Proficiency in Microsoft Word and Power Point;
  • Ability to function effectively and successfully in a complex multifunctional environment;
  • Collaborative, team-oriented, flexible;
  • Effective written and verbal communication skills.

     

Preferred Qualifications:

 

  • Experience in a Medical Affairs discipline;
  • Strong knowledge of Bayer systems and policies around invoicing and purchase requests;
  • Project management skills and experience.
