Job Summary:

As the Pharmacy Purchasing Specialist, you will manage pharmacy procurement and inventory at Westchester Medical Center. This position monitors and controls pharmacy inventory and purchasing, performs physical inventories, recommends cost-saving measures, and maintains appropriate documentation of purchasing activities, including invoices, department charges, borrow and loans, and pharmaceutical transfers. Does related work as required.

Responsibilities:

* Submits purchase orders for pharmaceuticals and supplies from appropriate sources within bid guidelines;
* Maintains high rate of compliance with purchasing contracts, Medical Center policies and accreditation and regulatory requirement;
* Monitors and notifies pharmacy staff of drug shortages and takes appropriate steps to identify and acquire drug from alternate sources, as approved by the Pharmacy Director;
* Works with clinical, supervisory and administrative staff to accurately identify alternatives for medications and supplies affected by national shortage;
* Identifies cost savings and meets with existing and potential vendors to identify opportunity;
* Anticipates and recognizes inventory flow charges and makes appropriate adjustments in ordering;
* Coordinates the receiving, checking in, and proper storage of pharmaceuticals and supplies from vendors, in conjunction with Pharmacy Senior Stock Clerk;
* Verifies orders received from vendors and quarantines incorrect, expired and damaged items for return;
* Identifies trends in drug use and high cost items and communicate trends to the Clinical Pharmacist and Pharmacy management;
* Monitors purchasing and inventory statistics and parameters;
* Maintains appropriate inventory levels based on established usage and financial parameters;
* Maintains accurate shelf and item labels in all Pharmacy drug storage locations;
* Maintains adequate in-date stock of medications and rotates stock to ensure use before expiration date;
* Returns expired medications utilizing Reverse Distributor and ensures proper credit is received;
* Identifies and retrieves all recalled medications, disposes of recalled medications per manufacturer and FDA instructions, and maintains documentation and log for all recalled medications and actions taken;
* Maintains up to date borrow/lend records, processes invoices and credits in a timely manner, and maintain documents to ensure proper credit or rebate, according to letter of participation or contract, for items bought;
* Prepares reports of inventory management activities and manages the preparation for and conducts annual inventory;
* Performs physical inventories as required by hospital and by all applicable laws and regulations;
* Assists in preparing financial reports for end of month billing;
* Maintains a current price list of all pharmaceuticals and supplies;
* Sustains hospital formulary by minimizing non-formulary procurements;
* Maintains a readily retrievable filing system for all billing, narcotic and ancillary records;
* Completes month-end special projects as requested by the Director of Pharmacy.

Qualifications/Requirements:

Experience:

Thorough knowledge of procedures and methods related to pharmacy purchasing including monitoring and controlling pharmacy inventory; good knowledge of laws relating to public purchasing procedures; good knowledge of source documents in the purchasing of a great variety of items; good knowledge of drug names; good knowledge of perpetual inventory processes; ability to maintain automated inventory records and generate routine reports; good judgment in reordering items and in processing orders; ability to meet and deal effectively with vendors; ability to work cooperatively with health system and pharmacy staff; ability to read, write, speak, understand, and communicate in English sufficiently to perform the essential duties of the position; ability to use computer applications such as spreadsheets, word processing, e-mail and database software; sound professional judgment; resourcefulness; discretion; thoroughness; integrity; initiative; tact; physical condition commensurate with the demands of the position.

Education:

Bachelor degree from an accredited Pharmacy school
