We are looking for a seasoned and dynamic Executive Administrative Assistant to provide administrative and project support the Vice President of West/Mexico Region Global Manufacturing and Orange County Manufacturing leadership team. This role sits onsite 100% at our OC Campus.
We offer you a position where you’ll be responsible for:
- Management of calendars and scheduling
- Coordinate Quarterly and Functional Review calendar
- Consolidate Monthly Operations Review (MOR) reporting
- Travel planning
- Expense reporting
- Lead planning and execution for meetings on Medtronic sites or at offsite locations including catering arrangements and room set up coordination through facilities team
- Schedule audio conferences, video conferences, training sessions and other meetings
- Scheduling, agendas, meeting materials, set-up, minutes, sign-up, shut down, etc
- Proactively identify necessary meetings and communications to team members
- Partner with Communications & HR in drafting and distributing region communications and change plans
- Actively participate as a key member of the Operations leadership teams
- Lead the effort to support, monitor, communicate the progress of projects across the Region or Orange County Campus as needed
- Manage functional Teams channels: set up, securities, and content
- Serve as a key contact point for businesses and geographies, other Medtronic departments
- Handle sensitive or confidential information
- Interacts with peers, clients, and outside partners on matters of significant importance on a frequent basis. Involves planning and preparation of the communications. Requires skill, tact, persuasion, judgment, and/or negotiation to accomplish objectives
- Coordination and scheduling of interviews for potential new hires (contract and employee)
Must Have: Minimum Requirements
- High School diploma or GED
- Minimum of 10 years of relevant experience
Nice to Have
- Bachelor's Degree
- Previous Medtronic experience
- Previous experience supporting VP level leadership in a corporate setting, specifically an Operations or Human Resources function
- Experience with Microsoft applications (Outlook, Word, Excel, PowerPoint)
- Previous experience with meeting coordination, travel arrangements (including international), and complex calendar management
- Strong project management experience
- Ability to work well under multiple instructions and directions with tight deadlines
- High level of energy and willingness to work independently in a “fast-paced” environment

Salary ranges for U.S (excl. PR) locations (USD):$75,200.00 - $112,800.00This position is eligible for a short-term incentive called the Medtronic Incentive Plan (MIP).The base salary range is applicable across the United States, excluding Puerto Rico and specific locations in California. The offered rate complies with federal and local regulations and may vary based on factors such as experience, certification/education, market conditions, and location. Compensation and benefits information pertains solely to candidates hired within the United States (local market compensation and benefits will apply for others).
