Position Summary



Provides diversified administrative secretarial duties for the department. Organizes, manages and carries out administrative tasks including routine and complex support needs. Coordinates multiple projects within specified time frames. Responsible to assist with scheduling patients, update and coordinate patient information. Promote patient confidentiality by screening incoming phone calls and all incoming visitors/patients to the office



Minimum Education Requirements




  • High School diploma or GED



Minimum Experience Requirements




  • 1 year previous Patient Scheduling, Registration experience

  • Scheduling experience in a healthcare setting

  • Customer service and strong telephone communication skills

  • Experience/comfort dealing with the public, medical terminology, clerical skills (including computer competence)

  • A basic knowledge of CPT/ICD-9 codes.

  • Experience with computers and Microsoft Office, including Word, Excel and PowerPoint



License/Certifications




  • Basic Life Support (BLS) from American Heart Association



Position Duties (Essential Functions)



Receptionist – 50%



Greets patients and family members and handles or routes request in a competent and caring manner. Answers telephones, routes callers, takes messages and with hospital policy. Coordinates with other departments as needed to facilitate efficient patient care. Proactively identifies and communicates priority items (e.g. scheduling problems, routing orders, critical diagnostics and phone calls). Independently prioritizes multiple tasks and deals with fluctuating volumes. Filing, logging, copying, and reporting as needed.



Time Management – 30%



Handles all patient records and requests properly and accurately to minimize patient waiting. Accurately orders and checks film in and out. Maintains current patient records and film library to ensure availability of accurate patient information. Orders supplies for the department; maintains minimal, but sufficient, inventory if required. Opens, routes mail; distributes memos and other material to staff if required. Send or fax reports to doctors’ offices as requested. CD’s or films for doctors’ offices. Importing CD’s. Digitizing film. Loading film printer. Complete “on-call” notebook/hand off form. Legal requests handled in timely manner. Files mammography jackets. Return (mail) out files when needed. Failed faxes out of medical records system. Radiology forms for exams given to patients. Register mammography patients and enter orders. Biopsy approval requests. Destruction of media. Printing out schedules for next day. Other clerical duties as required.



Registration – 10%



Maintains smooth flow of department by communicating and coordinating with staff patient arrival times, tests and procedures to foster timely, effective patient care; coordinates with other departments (i.e. Admitting) in providing efficient patient care. Effectively uses telephone, fax machine, and electronic mail. Ability to prioritize and handle multiple tasks and fluctuating volumes; proactively identifies and communicates priority items. Receives and delivers messages, accurately and in a timely manner. Answers phone promptly using a pleasant, helpful manner. Coordinates with other departments as needed to facilitate efficient patient care. Proactively identifies and communicates priority items (e.g., scheduling problems, routine orders, critical diagnostics and phone calls). Independently prioritizes multiple tasks and deals with fluctuating volumes.



Scheduling – 10%



Confirms future appointments with scheduled outpatients. Schedules patients for imaging procedures. Prepares following day’s schedule by printing schedule from computerized system, obtaining medical record numbers, and giving schedule to technologists. Coordinates schedule with radiologist on duty and other departments.



Physical Requirements



Light Work - exert/lift up to 20 lbs force occasionally, and/or up to 10 lbs frequently
