UCB seeks a motivated self-starter and aspiring healthcare professional to join our US Corporate Affairs team and to provide departmental support for Government Relations, Advocacy, Policy, Communications and UCBCares activities.

Role Requirements:

  • Minimum 2-5 years of administrative experience or experience in a similar role. 
  • Strong desire to gain healthcare and health policy specific knowledge and experience.
  • Excellent organizational, interpersonal and communication skills.
  • Must be detailed oriented and able to handle various tasks.
  • Analytical and problem solving skills.
  • Ability to manage projects independently, as well as coordinate with other team members and be a team player.
  • Ability to work with confidential material with discretion and integrity is required.
  • Ability to work within an international team environment and on occasion, outside of typical US business hours.
  • Ability to prioritize, organize and plan workload and to anticipate issues and problem solve.
  • Excellent written and verbal communications skills in English. 
  • Ability to professionally interact with all levels within the organization.

  • Excellent planning and organizational skills.
  • Advanced Proficiency in MS Office Suite including PowerPoint, Excel, Word, Adobe and Outlook.
  • Ability to operate office equipment (fax, copier, scanner, etc) proficiently.


Primary Responsibilities (not limited to):

  • Provides full administrative support to the US Finance team and Medical Operations US Ops.  
  • Interface, partner, and collaborate with other coordinators/assistants/departments throughout the company 
  • Extensive maintenance of key leadership calendar and coordinate materials needed for calendar activities
  • Ability to make independent decisions on leadership's behalf regarding conflicting meeting requests.  
  • Experience using Microsoft Outlook program.
  • Act as the central point of contact and coordination of activities for teams supported 
  • Schedule and organize both domestic and international meetings (Face to face, Tele-Conference, Video Conference, etc.).
  • Coordinate extensive travel arrangements, and must have experience in booking International travel.
  • Prepare documents and correspondence, as appropriate.  
  • Coordinate extensive on and off-site meetings and receptions with internal and external stakeholders.
  • Event and meeting planning, including experience organizing caterers, hotel contracting, travel, event/meeting space logistics, and managing attendees.
  • Coordinate and assist with budget issues; aid in collaboration with finance to ensure budget tracking; Experience reporting monthly accruals and communications/database management for numerous project-specific vendors.
  • Assist other members of department on specialized projects.  
  • Provide general administrative duties such as filing, faxing, photocopying, and preparing expense reports.
  • Draft and distribute internal team meeting minutes as well as partnership meeting minutes.
  • Order department office supplies, process invoices, handle check requests, and purchase orders. 
  • Coordinate office space and equipment needs for the departments (e.g. work space for visitors, meeting rooms, computers/laptops.)
  • Maintain and organize paper and electronic documents (e.g. training, organization charts, and contact information) and filing systems, as required.
  • Prepare and design presentations in PowerPoint (extensive knowledge needed).
  • Willing take on new projects and tasks to assist department to achieve priorities even if outside his/her normal daily duties.
  • General knowledge and interest in current international/national news and events, especially regarding health care.
  • Agile thinker who can strategize and find solutions to issues quickly/effectively; quick learner and versatile.
