Position Summary



Provides administrative support, clerical and customer service support to the department. Provides support for



annual TB/Fit Test/Immunization compliance which includes running reports and creating spreadsheets in Microsoft



Excel. Data entry of immunization records of new hires. Administers, maintains and monitors the Family Medical



Leave Act (FMLA) records for Penrose-St. Francis Health services associates and corporate associates.



Minimum Education Requirements




  • High School Diploma or GED

  • Graduate of a medical administrative assistant program preferred



Minimum Experience Requirements




  • Two years of medical/hospital terminology and operations, organizational procedures and personnel policies

  • Microsoft Word, Excel and Power Point knowledge

  • Demonstrates proficiency with standard office equipment

  • Knowledge of preparing reports

  • Works with people from a wide range of backgrounds and perspectives

  • Performs tasks with great attention to detail and efficiently

  • Requires strong, positive telephone and customer service skills

  • Prefer workers compensation and/or occupational medicine experience



Position Duties (essential functions denoted with an * )




  • Maintains and updates health records including immunizations/lab values on all system associates. *

  • Maintains and updates FMLA forms/computer on all system associates applying for and out on medical/family leave. Generates weekly FMLA reports for HR and occupational health use. *

  • Provides front office customer support. *

  • Maintains and orders medical and office supplies. *

  • Performs high volume data entry of medical information. *

  • Generates and formats compliance reports. *

  • Works with people from a wide range of backgrounds and perspectives. *

  • Performs tasks with great attention to detail and efficiently. *



Physical Requirements




  • Sedentary Work - prolonged periods of sitting and exert/lift up to 10 lbs. force occasionally)
