Associate Director Sample Accountability 

 
  
  

YOUR TASKS AND RESPONSIBILITIES

 

The primary responsibilities of this role, Associate Director Sample Accountability, are to: 

 

  • Manage all third party sources and services relating to sample accountability;
  • Monitor sample allocations, transfers, disbursements and shipment procedures for all aspects of compliant programs such as rep-carry, direct to practitioner and special product sample handling programs;
  • Establish and maintain all sales policies surrounding sample accountability and reconciliation;
  • Acts as trainer to the sales force regarding PDMA, sample accountability, compliance, violations, etc.;
  • Establish procedural links between customer service sample shipments, returns, losses and the sales force inventory process;
  • Initiate confidential investigative analysis of sales representatives, reviewing analysis completed by third party vendors and alerting Deputy Director of Territory Alignments/Sample Accountability, Manager of Quality Systems, Legal and National Sales Directors of any suspicious activities that may lead to the uncovering of product diversion;
  • Notify Field Sales Managers of excessive sample disbursements to a physician, negative Signature Audit results, negative field audit results and Rep violations of sampling procedures and policies;
  • Communicates both orally and in writing with in-house management, field sales management, legal counsel and FDA representatives concerning the Prescription Drug Marketing Act;
  • Be responsible for maintenance of investigation files and case number logs according to the requirements of the Prescription Drug Marketing Act;
  • Establish and maintain significant loss matrices;
  • Be responsible for reporting all thefts and shipment losses of samples to the FDA and maintaining a follow-up system to trend these occurrences;
  • Participate with appropriate authorities during regular inspections and audits;
  • Liaise with Quality Control to report significant losses, thefts, and/or infractions;
  • Review information received from the PDMA physician receipt audit and follow up with Field Sales Managers regarding document/receipt differences;
  • Keep current with all existing and subsequent sample laws and regulations and appropriately plans for maintaining optimal compliance;
  • Maintain sales sample systems integrity;
  • Initiate, manage and deliver Request for Proposal projects to assess and choose qualified suppliers for all PDMA related activities;
  • Advise and recommend appropriate impactful market sampling options to business units and divisions to maximize market potential and minimize compliance risks to the business;
  • Complete cost benefit analyses to determine the best market options for business impact.

Required Qualifications:

 

  • Bachelor's degree with a minimum of seven (7) years of pharmaceutical healthcare experience;
  • Five (5) years of experience managing significant outsource suppliers in Sample Accountability;
  • Three (3) years of managing PDMA compliant Sample Accountability and minimum of three (3) years of supervisory experience;
  • High proficiency in Excel and Access as well as excellent oral and written communication skills;
  • Financial, contracting, and project management skills;
  • Experience and membership in PDMA sharing organization.
