MSU Denver offers a full benefits package.Employee Category: Professional staffDepartment: ChemistryPosition Summary:The Assistant Academic Coordinator position is focused on providing administrative academic support to both the department of Biology and the department of Chemistry & Biochemistry, splitting time between the two offices.IND208Duties/Responsibilities:Faculty and Administrative Support (40%)• Chief ordering and procurement specialist for chemistry faculty and staff who need equipment, consumable reagents, chemicals, and office supplies• Process departmental textbook orders• Process chemistry part-time faculty load and compensation tracking• Maintain and update the departmental websites• Aid in developing and maintaining a social media presence for the departments• Gather information and maintain faculty office hours and advising schedules • Assist with departmental travel arrangements• Assist with other daily miscellaneous tasks and issues as they are assignedStudent Assistance (30%)• Serve as a student-facing, front-desk position• Assist students through scheduling advising appointments, appropriately directing students, answering registration questions, processing student override requests, and transfer evaluations• Monitor departmental email accounts• Maintain a professional and friendly rapport with students in the programs to provide knowledgeable information regarding instructors, program prerequisites, and laboratory hours, and providing program requirements and schedules• Review student class schedules and recordsCoordination (30%)• Communicate and coordinate effectively with others internally (e.g., faculty, staff, and students) and externally (e.g., AHEC facilities management, commercial vendors, and others)• Coordinate and work closely with department Chairs, academic coordinators, and lab coordinators to create and maintain efficient workflows• Communicate and coordinate with front desk staff, assist with organizing departmental events, and facilitate work orders• Assist in training student employees for front desk roles• Assist with process transformation effortsRequired Qualifications:• Professional experience providing general clerical, office, or administrative support.• Experience providing customer service in an office setting.Important Note: Successful applicants will ensure their resumes clearly demonstrate that their work experience describes how they meet all required qualifications.Preferred Qualifications:• Bachelor's degree in biology, chemistry, biochemistry, or other natural science field.• Experience working with a budget in an office environment.• Experience with purchasing and following established purchasing guidelines.• Experience working in an academic environment.• Experience with scheduling and maintaining calendars.• Experience using Banner or similar student information system.• Experience using social media.• Experience making travel arrangements in a professional setting.• Experience organizing and providing support for events.• Experience providing training to colleagues, peers, associates, etc.• Demonstrated excellence in clerical skills, organizational skills, and communication skills.Posting Date: 04/07/2021Closing Date: Closing Instructions: Open Until FilledSpecial Instructions to Applicant:IMPORTANT: In order to be considered as an applicant, you must apply via the online application system, refers to a list of three professional references and their contact information.Official transcripts will be required of the candidate selected for hire.To apply, visit ©2017 Jobelephant.com Inc.
