Job Summary

BASIC SUMMARY:  

Responsible for client communication and billing for the archived material at PCS-PA.

ESSENTIAL DUTIES AND RESPONSIBILITIES:  

  • Conform to Standard Operating Procedures (SOPs) and Good Laboratory Practice (GLP) regulations.
  • Prepare letters and relevant documents to notify clients of all study materials past their archive retention period.
  • Communicate directly with clients regarding disposition of their archived materials.
  • Oversee all client requests concerning archived materials.
  • Monitor and track invoicing activities and communicate revenue details to the Archivist.
  • Provide information to other departments in response to their client requests regarding Archived materials.
  • Perform computer entry of study records into the archive database.
  • Place and retrieve material in a secure and controlled access archive, as assigned.
  • Organize, file and retrieve study and ancillary facility records, as assigned.
  • Check-in/check-out materials from the archive, as assigned.
  • Perform all other related duties as assigned.

 

QUALIFICATIONS:

  • Education:  High school diploma or General Education Degree (G.E.D.).  Associate’s degree (A.A./A.S.) or equivalent desired in business or administrative assistant discipline.
  • Experience:  1-2 years of customer service experience required; 1-2 years of office experience or administrative training required; experience in billing preferred.
  • An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.
  • Licensure:  None.
  • Other:   Proficient computer skills with departmental databases (Access), word processing (Word), and spreadsheet programs (Excel).  Must be organized, have attention to detail and possess good problem-solving skills.
