The Patent Administrative Associate will be responsible for the coordination and performance of multiple tasks in a high-volume environment, while understanding the project principles and technical skills related to work assignments. Primary responsibilities will be to provide computer and clerical support to Merck patent attorneys in the filing and prosecution of patent applications, and related projects. The Patent Administrative Associate may also be called upon to assist with special projects within the department. Other responsibilities include but are not limited to: calendar management, all aspects of coordinating meetings/teleconferences, SAP expense reimbursement processing, and performing routine support duties.

This position requires excellent computer skills, professional communication/telephone skills, flexibility and teamwork. The successful candidate must have the ability to prioritize work from multiple sources/originators. Communication skills must be at a level to effectively interact with internal clients and intra-departmental colleagues to maintain workflow. The individual must be able to operate independently, exercise good judgment and take initiative.

Occasional travel to the Kenilworth site may be required to attend meetings and other various administrative responsibilities.

Education Minimum Requirement:
  • High School Diploma or GED
    (Associate’s Degree preferred)

Required Experience and Skills:

  • 8 years experience as an administrative assistant
  • Excellent computer skills, using MS Office (Outlook, Word, Excel, Power Point, etc.)
  • SAP experience, including processing expense reports
  • Experience coordinating complex, multi-leg travel
  • Advanced secretarial/clerical abilities
  • Ability to handle and prioritize a large number of simultaneous assignments
  • Professional communication skills
  • Extraordinary attention to detail

Preferred Experience and Skills:

  • Patent experience as an administrative associate in a corporate or law firm setting
  • Working knowledge of ChemDraw, FastSeq and Patentin
  • Familiarity with software packages and systems specific to the patent area, e.g. First to File, IP Manager (or other docketing systems, USPTO e-filing, etc.)
