Scope of Position:

This role will provide office support to the Durham Plant and Leadership Team. We look for you to demonstrate knowledge of company operations, policies, and procedures and act as the first point of contact for general employee questions. You will have access to sensitive information and will need to maintain confidentiality. This role will handle calendars and conflicting priorities/deadlines for leadership at the plant. Contacts are frequent within and outside the organization. External contacts involve obtaining or providing information on matters of moderate importance to the organization and may be of a sensitive nature.

Day to Day Responsibilities:  

  • Manage Calendars, schedule meetings, reserve conference rooms  
  • Provide event coordination for facility, i.e. training events, outside plant visits, celebrations, service award events, etc.  
  • Handle domestic and international travel arrangements, Visa’s, Passports as needed for the plant staff or by request for the staff based on project needs  
  • Prepare and review expense reports using Concur and purchase orders using PeopleSoft  
  • Play a key role in planning staff meetings, department activities and contributing to a positive work environment  
  • Acts as one of the first points of contact for employees’ general requests and questions  
  • Manages daily mail and postal meter.  
  • Supports document creation and updates of work products in Microsoft Word, PowerPoint and Excel  
  • Co-Leads plant activity team with HR Data Steward  
  • Manages plant miscellaneous items such as Museum Passes and Memberships, Durham Bulls Season Tickets, Florist orders for employees, holiday event planning and execution, plant wide event and execution, service awards, etc  
  • Provide technical support for conference calls and/or arrange appropriate media support as needed  
  • Act as an information source for department Share Drives, SharePoint sites, and Box organization, policies and procedures. Recommend changes in methods or procedures and assist with development of new or revised policies related to usage.  
  • Assigns appropriate confidentiality status to materials and may take action to ensure compliance.  
  • Independently solves most problems on basis of examining pertinent facts and using network to resolve internal questions  
  • Collaborates with HR Data Steward to ensure coverage of department needs for vacation coverage

Travel Requirements:  

  • Negligible
  • Hours of work/work schedule/flex-time: M-F, 8:00 am – 5:00 pm; Willing to work overtime if situations dictate

Required Education 

  • High School diploma or GED  
  • Preference for Associates degree or equivalent experience as demonstrated by skills and performance

Required Years and Area of Experience:  

  • Minimum 3+ years in a high level administrative or coordinator role  
  • Prior administrative experience in a professional or manufacturing/plant environment.  
  • Associates in Business, General Administration or equivalent preferred

Required Skills:  

  • Professional, organized, detail oriented, manages multiple priorities  
  • Stays current on trends and is willing to adapt to new technologies and processes  
  • Excellent Outlook skills & MS Office suite (Word, PowerPoint, Excel); strong knowledge of computer software including SharePoint and Box
  • Handles confidential and proprietary information with discretion and sound judgment  
  • Maintains composure and work quality during variations in work schedules, priorities and under tight timelines and able to handle a fast-paced environment  
  • Capable of handling routine administrative work with no instruction  
  • Excellent communication skills – clear and succinct in a variety of communications settings and styles  
  • Shows initiative (self-starter) and works independently on assignments and issues that arise
