Scope of Position:

The Accounts Coordinator/Archivist will have overall responsibility for customer account management pertaining to contract services using PeopleSoft software. This position also requires maintaining a service agreements database, interacting with customers and internal/external legal departments to track agreement schedules. In addition, responsibilities may include general clerical duties in an office setting, such as screening telephone calls, receiving visitors and deliveries through the front door, monitoring and using standard office equipment (sending/receiving faxes, copiers, overnight mail) in a manner consistent with the company’s customer service standards or delegation of these activities to other/temporary staffing. This position will be responsible for providing other assistance as requested, including preparing files, presentation materials, filing, updating monthly financial projections, word processing, creating and editing Adobe Acrobat reader files, data input into spreadsheets or databases, etc. This individual will also be the primary Archivist for the Studies Group and will be responsible for archiving and maintaining studies and facility records and documentation in compliance with Good Laboratory Practices. As Archivist, responsibilities will include ensuring that pre-established timelines are met in archiving documents, that appropriate documentation of archived materials is maintained and updated as needed, both on-site and off, if applicable

Day to Day Responsibilities:

  • Maintain Studies database, coordinate account set up for new customers
  • Monitor legal agreement database to ensure customers remain current
  • Manage and ensure legal documents (NDA/CDA/MLSA, LSO) for new customers are processed promptly through legal department
  • Work with Customer Service Supervisor for Studies invoicing/revenue recognition through PeopleSoft
  • Maintain Blue Mountain Regulatory Asset Manager (BAMRAM) for Studies group
  • Manage and publish Studies templates (proposals, protocols, etc.)
  • Calculate and report metrics for Studies group
  • Oversee maintenance of copiers and fax machine.
  • Serve as primary Archivist for nonclinical studies and other documents as indicated in standard operating procedures
  • Provide assistance to Staff Scientists and Study Directors: scheduling meetings and meeting arrangements, providing general office support including creating memos and other correspondence, tracking and communicating to Study Directors suitable metrics (e.g. percent of ‘on time draft reporting’) and assisting others in the preparation of correspondence and reports.
  • Maintain “Study Director & Studies Processes” Handbook • Perform and/or Chair other duties/projects as assigned • Manage Lunch N Learn series.
  • Capture PO numbers for studies
  • Burn duplicate copies of CD-ROMs/DVDs/other appropriate electronic storage media to capture accurate copies of electronic data, and submit, along with study file, to Study Director or designee for review and approval.

Education and Experience:

  • 1. Bachelor’s Degree in a biological science with 1 – 2 years of experience or Associates with 2-4 years of related experience.
  • 2. Demonstrated proficiency using Microsoft Office, especially Word and Excel.
