The role of the Project Coordinator is to be the internal operations and coordination lead for their team. They manage project timelines, workflow and administrative tasks in order to meet deadlines and budget constraints in accordance with the agency process. They are responsible for understanding the details of each assignment and assisting with the communicating those details to agency support teams (creative, planning, insights, purchasing, sweepstakes, accounting, etc.) as needed.

Responsibilities:
  • Facilitate internal agency project logistics and assists with documenting the detailed program information including: SOW, creative direction, specifications, budgeting, timelines, etc.
  • Responsible for communication with all support teams, including, but not limited to Creative, Marketing Services, Purchasing, Sweepstakes, Fulfillment, Accounting, etc. Schedules, conducts and recaps internal meetings (status, kickoff, WIP, creative reviews, etc.)
  • Ensures that all agency processes and procedures are followed.
  • Liaison between client team and all support teams.
    Responsible for collaborating with the account team to initiate and update project communication as needed (assigns job numbers, etc.) and manage expectations on deliverables throughout the project.
  • Creates, distributes and owns project timelines, updating the team as needed.
  • Ensures that all job specs are accurately documented and details are provided in WMJ.
  • Responsible for partnering with SMS and Purchasing on quotes, estimates and billing, while managing all correspondence/communication to ensure flawless execution.
  • Ensures all legal and client approvals are received and documented.
  • Owns and maintains status reports and leads internal weekly status calls.
  • Reviews Open Order Reports with client team to ensure prompt invoicing.
  • Assists with Training of new staff members as needed.
  • Other duties as assigned.
  • Qualifications:
  • 0 to 2 years of work experience
  • Experience working in an administrative support capacity
  • Experience working with project management software preferred.
  • Must be motivated, energetic; possess strong organizational skills as well as excellent people and team building skills and a winning agency attitude.
  • Team oriented multi-tasker with exceptional organizational skills.
  • Ability to prioritize, meet deadlines and demands.
  • Proficiency with Microsoft Office Suite, especially PowerPoint, Excel, Word, Outlook.
  • Ability to work both independently and in a team-oriented, collaborative environment
  • Understanding of agency operations and/or production process is a plus
