Description
Basic Qualification
Bachelors Degree and minimum of 5-7 years applicable experience in project management.
Details
This position provides project management administration and process support to the Global External Legal Relations Team (“GELRT”), and supports efforts to develop new processes and technical solutions that enhance GSK’s control of costs associated with external law firms and 3rd party legal service providers. This position is charged with managing GELRT project workflow, milestone tracking, documentation and preparing formal project status reports to GELRT senior management.
Create detailed project plans, timelines, milestone tracking charts, and act as chief project manager for managing successfully to timelines and milestones. Prepare formal periodic project updates for presentation to Head of GELRT and Senior Legal management. Responsible for tracking of all Alternative Billing Agreements and maintaining all savings documentation.
Support the preparation of Legal Dept. global spend forecasts and negotiation of economic arrangements with outside counsel and 3rd party legal service providers.
Support the selection and development of project plan tools and processes for use by internal counsel in managing case load and daily/monthly invoice processing and review.
Support the development and training of Legal Department staff on new processes and IT systems implemented to more effectively and efficiently utilize external counsel and 3rd party legal service providers.
Support the resolution of any disputes of an economic/business nature with external providers of legal services.
Interact with US/UK/ROW accounts payable on projects/issues as needed.
Provide assistance with respect to electronic billing related projects/issues as needed.
Ensure that all electronic billing timekeeper/hourly rate tables are current and properly loaded into the Legal Department’s electronic billing system. Support manager with processing timekeeper/hourly rate modification requests from outside counsel and 3rd party vendors.
Provide general backup to activities of GELRT management., including but not limited to creation of presentations (e.g., PowerPoint).

Exceptional communications skills and project management skills, including the ability to communicate effectively with various stakeholders to ensure that they progress their projects in a timely manner and meet their deadlines.
Team player comfortable working in a dynamic, fast-paced, and demanding work environment.
Solid organization skills and presentation skills.
Self-starter with the ability to coordinate several activities at once, to quickly analyze and resolve specific problems, and to prioritize work against changing deadlines.
Ability to prioritize effectively, work independently, meet deadlines and achieve objectives with minimal supervision.
Commanding knowledge of Excel, Word, and PowerPoint.Advanced degree or equivalent education/training.
General understanding of IT, Procurement, and Finance functions.
Working knowledge of IT project management.
Exposure to various business and enterprise systems.
Experience working with applications such as contract management software, and e-billing software.
Working knowledge of accounting, budgeting and forecasting principles.
Project management, preferably supporting a legal organization (corporate legal department or law firm).
Experience in dealing with issues from a transnational or global perspective.
Track record of effectively influencing across a department or function in complex, high risk/impact situations.
Record of achievement in managing more complex, cross-functional projects (including budgets, resources, timelines, and issue management).
Track record of driving innovation and process improvement in achieving heightened performance and best practices.
Experience successfully leading project teams.
Ability to proactively integrate short-term projects/initiatives and project plans within broader business strategy and emerging trends/opportunities.
Solid strategic and integrative thinking—incorporating financial, business, process and legal knowledge.
Data synthesis skills from multiple, complex sources of data.
Experience in using Lean and/or Six Sigma methods and tools.
Reporting/analytics skills, with knowledge of MS Access and business intelligence tools such as Hyperion, Cognos, and/or Crystal reports.
