Description
Basic Qualification
Full range of administrative skills with at least 5 years of experience supporting Director level and Project Teams.
Computer application skills such as Microsoft Office,Microsoft Outlook, PowerPoint, Excel, and Lotus Notes and Connectware.
Experience/Knowledge of GSK Systems and administrative processes.
Details
•Supports Director and global Clinical Ophthalmology Team. Performs administrative duties frequently involving confidential information. Administers complicated processes and projects in support of work done within the functional area under minimal direction and review including:
•Diary management: arranging a variety of appointments and meetings, ensuring team has the time to complete projects whilst dealing with changing/conflicting priorities and maintaining routine meetings and day-to-day contact with customers and team members.
•Word processing: letters, memoranda, reports and e-mail, responding on behalf of Director as appropriate. Preparation of presentation material using PowerPoint and spreadsheets using Excel. Preparation of contracts.
•Responds to complex inquiries from internal and external personnel using proper judgment and initiative to ensure critical issues are handled appropriately.
•Co-ordinate various meetings e.g. departmental meetings, advisory meetings, clinical webcasts: Arranging dates, managing/ arranging agenda items, distributing minutes and/or executive summaries.
•Filing: Maintaining a filing system for a range of documents both hard copy and electronic. Aligning files to records retention policy.

•Demonstrated experience in making decisions and showing initiative required.
•Tact, diplomacy and team skills essential.
•High degree of accuracy, neatness and attention to detail required.
•Strong organizational skills required.
•Proven ability to handle multiple assignments, plans, set priorities, execute, and independently manage/complete projects in a timely fashion.
•Strong interpersonal skills and ability to interact with all levels of GSK staff and management in a multi-national/global environment, as well as external contacts.
•Willingness to support multiple managers and assist other departmental administrative assistants as needed.
•Willingness to work flexible hours and/or overtime, as requested
